When you request a quote we collect your name, email address, phone number (if given), postcode, the service and frequency you're interested in, and any notes you add about the property. We also keep the emails and calls we exchange with you about your enquiry.

When we carry out work, we may also hold access details (such as key-holding records and alarm or door codes), contact details for tenants, occupiers or agents provided to us to arrange access, and photographs of the property taken for our sign-off reports. We avoid photographing people or personal documents, and access details are stored securely and deleted when no longer needed.

We use this information to reply to your enquiry, prepare a quote, arrange and carry out cleaning work, and keep in touch about bookings. Our lawful basis is taking steps at your request before entering into a contract, and performing that contract once you book.

Where we keep records of our communications, or deal with contacts at estate agents, landlords and property managers, we rely on our legitimate interests in running and improving our business. We don't use your information for unrelated marketing without your consent.

We don't sell or rent your details. Information is only shared with members of our team who need it to deliver your service, and with trusted providers who support our business (such as our email and IT providers), under appropriate confidentiality and data protection terms. Some of these providers may process data outside the UK; where they do, we make sure appropriate safeguards are in place, such as UK-approved contract terms. We may disclose information where required by law.

We take appropriate technical and organisational measures to keep your information secure, including restricting access to those who need it and following documented key-holder protocols.

If you don't go ahead, we keep enquiry details for up to 12 months and then delete them. If you become a client, we keep records for as long as we provide services and for up to 6 years afterwards to meet legal and accounting obligations. Access details such as codes and key records are deleted once we no longer need them to provide the service.

Our website does not use cookies for tracking or advertising.

Under UK GDPR you have the right to access the personal information we hold about you, to ask us to correct or delete it, to restrict or object to how we use it, to data portability, and, where we rely on your consent, to withdraw it at any time. To make a request, email info@newstepclean.co.uk and we'll respond within one month.
